Updating tasks via bulk editing
The screenshots in this article show the German interface. The English label is given first, with the German label in square brackets.
Instead of opening one task after another: you tick several tasks, click Edit [Bearbeiten], Status or Assignees [Verantwortliche] — and ContractHero applies the change to all selected entries in a single step. Ideal for team handovers, renewal waves and end-of-quarter clean-ups.
Your benefit
Anyone who maintains a task list knows the clicking marathon: changing the assignment, setting statuses, adjusting due dates — for every entry individually. With bulk editing:
- Task handovers in seconds. When someone leaves or the team is restructured, you reassign 50 tasks in a single click — no manual clicking through.
- Batch completion at the end of the quarter. Tick all completed tasks from a sprint and set them to "Closed [Geschlossen]" in one go.
- Consistency. The same change lands identically on every selected task — no typos, nothing forgotten.
- Fewer context switches. You stay in the task list instead of clicking through individual tasks.
How it works
Step 1: Open and filter the task view
In the left-hand sidebar, open Tasks [Aufgaben]. Filter the view so that only the tasks you want to edit are visible — for example by assignee, status or due date.

Step 2: Select tasks
Tick the checkboxes in front of the tasks you want to change. For all tasks at once: the checkbox in the table header row.
As soon as at least one task is ticked, the bulk action bar appears at the bottom, with the counter "X tasks selected [X Aufgaben ausgewählt]" and the options Select all [Alle auswählen] / Deselect all [Alle abwählen] on the left, plus four actions on the right:
- Edit [Bearbeiten] — bulk edit for several fields (see step 3a)
- Status — quick action for the status only (see step 3b)
- Assignees [Verantwortliche] — quick action for the assignment only (see step 3c)
- Delete [Löschen] — remove several tasks in one step

Step 3a: "Edit [Bearbeiten]" — change several fields at once
Clicking Edit [Bearbeiten] opens the "Bulk edit tasks [Aufgaben massenweise bearbeiten]" dialog as a slide-in on the right. An orange warning note reminds you: "Changes will be applied to all X selected tasks."
Under "Field 1 [Feld 1]" you choose a field from the dropdown. Currently available:
- Status
- Title [Titel]
- Description [Beschreibung]
- Assignees [Verantwortliche]
- Due date [Fälligkeitsdatum]

Use "+ Edit new field [+ Neues Feld bearbeiten]" to add a second, third and further field — for example to change the status and switch the assignee at the same time.

The note at the bottom left, "Review all changes before updating [Alle Änderungen vor dem Aktualisieren prüfen]", signals that you will see a preview before the change is finally applied — only then confirm with the "Preview [Vorschau]" or "Update [Aktualisieren]" button.
Step 3b: "Status" — quick action to change the status
Clicking Status in the toolbar opens the small "Update status [Status aktualisieren]" dialog. Choose the new status in the "Select new status [Neuen Status wählen]" dropdown (for example "Closed [Geschlossen]") and confirm with Update [Aktualisieren].

Special case — recurring tasks: if the selected tasks include any with a recurrence (for example "monthly contract review"), an additional choice appears:
- "Create a task with the same recurrence [Eine Aufgabe mit der gleichen Wiederholung erstellen]" — the next cycle is created automatically.
- "Close task permanently [Aufgabe endgültig schließen]" — the recurrence stops.

That way you will not lose any recurring tasks when you clean up quickly.
Step 3c: "Assignees [Verantwortliche]" — quick action to change the assignment
Clicking Assignees [Verantwortliche] opens the "Update assignees [Verantwortliche aktualisieren]" dialog.

Choose the new person under "Select new assignee [Neue Verantwortliche wählen]" and confirm with Update [Aktualisieren]. All ticked tasks are assigned to the new person immediately.

Typical use cases
- Team handover. A colleague moves to another department or leaves — transfer 30 tasks to their successor with one click.
- End of sprint. Tick all completed tasks from a sprint → Status → Closed [Geschlossen] in one go.
- Renewal wave. Create 50 "Review contract by Q4" tasks and adjust their due date together later on.
- Clean-up. Filter the "Tasks without an assignee" view → select all → set Assignees [Verantwortliche].
- Process change. After a team reorganisation, transfer 100 tasks to a new role in a single step.
Frequently asked questions
Do I get this feature automatically?
Trial accounts and all new customers now have bulk edit for tasks included. Existing customers: your Customer Success Manager can enable the feature on request. Just get in touch with us about it.
What happens with recurring tasks when I close them?
You make an active choice in the Status dialog: either the recurrence continues (the next task is created) or the series stops. That keeps you in control — including for bulk actions.
Can I change several fields in one bulk edit?
Yes. In the "Bulk edit tasks [Aufgaben massenweise bearbeiten]" dialog, click "+ Edit new field [+ Neues Feld bearbeiten]" and add a second and a third field. All changes are applied in a single action.
Can I delete tasks in one go?
Yes. Tick the tasks → Delete [Löschen] in the bulk action bar. This is permanent — take a moment to consider whether a status change to "Closed [Geschlossen]" is not the better choice.
Are tasks from a filtered view that I cannot currently see edited as well?
No. Select all [Alle auswählen] only selects the tasks currently visible in your view. For tasks from other views, switch to those views first.
Can I undo the change?
There is no single "undo" button. If you change something by accident, reset it manually — the change log and the previous values will help you with that. If you are unsure, work with one test task first.
Are automations triggered when tasks are changed via bulk edit?
Status changes and field changes run through the same logic as individual changes — depending on your automations, this can trigger emails, notifications or follow-up steps. Test this with a small selection before you change 100 tasks at once.
How many tasks can I edit at the same time?
In practice: whatever your view shows. The preview confirms the exact number to you before the change is applied.
Good to know
- Always filter first. The more precise your view, the lower the risk of catching the wrong task by accident. "Select all [Alle auswählen]" on a cleanly filtered view is your strongest combination.
- The preview is your safety net. Use the preview step deliberately — it shows what will actually be applied before it happens.
- Recurring tasks are a class of their own. The status dialog reminds you when your selection contains any. If you really want to end a series, choose "Close task permanently [Aufgabe endgültig schließen]" — otherwise ContractHero creates the next recurrence.
- Parallel to contracts. The logic is identical to bulk editing of contracts — anyone who knows that will find their way around here straight away.
- Test small first, then scale up. For a new bulk action we recommend running through it with 2–3 tasks first, checking the result, and then doing the full set.
