How do I move contracts to another team?

The screenshots in this article show the German interface. The English label is given first, with the German label in square brackets.


A contract has ended up in the wrong team, a department is being restructured, or a new entity is taking over existing contracts — that is what the move function is for. It lets individual contracts or entire portfolios migrate to another team, without you having to export anything or create it again from scratch.


The team a contract belongs to controls who may see and edit it — which is why moving is deliberately a separate function with a control step, and not part of the normal bulk editing.


Your benefit


  • Migrate instead of recreating. Contracts change team together with their documents, fields and history — in a single action.
  • Individually or in bulk. One contract or the complete filtered portfolio: you determine the selection using the checkboxes [Checkboxen] in the contract list [Vertragsliste].
  • Control before the move. Before you confirm, the summary in the dialog shows you exactly which contracts are moving into which team.
  • Permissions come along. After the move, the visibility of the contract follows the new team — the right people can see it and the previous ones can no longer (unless they are authorised in the target team as well).


How it works


1. Select contracts


Open the contract list [Vertragsliste] and tick the contracts you want using the checkboxes [Checkboxen] on the left. The action bar appears at the bottom of the screen with the counter "X contracts selected [X Verträge ausgewählt]".




2. Choose "Move [Verschieben]"


In the action bar, click "Move [Verschieben]". The "Move contracts [Verträge verschieben]" dialog opens.






3. Select the target team


In the "Teams" dropdown, select the team the contracts are to be moved into.






4. Check the summary and confirm


The "Summary [Zusammenfassung]" shows the target team as well as all contracts to be moved, with their current team and their category [Kategorie]. If everything is correct, click "Confirm [Bestätigen]" — with "Cancel [Abbrechen]" you discard the operation.


Frequently asked questions


Can I also move just a single contract?
Yes. The route is the same — simply tick just one contract and click "Move [Verschieben]".


Why can I not change the team via bulk editing?
This is deliberate: the team controls visibility and access, which is why changing the team has its own function with a summary and a confirmation step instead of a silent field change.


What happens to the permissions after the move?
From that point on the contract belongs to the target team — who sees and edits it is determined by the roles and permissions of that team.


Who is allowed to move contracts?
Moving requires the corresponding rights. If you cannot carry out the action, please contact an admin in your organisation.


How do I cleanly move a large number of contracts at once?
First create a filtered view (e.g. all contracts in one category or for one contract partner [Vertragspartner]) and then use "Select all [Alle auswählen]" — that way you move exactly the filtered portfolio.


Good to know


  • Check the target team's category access: in ContractHero, teams are enabled per contract category (Settings [Einstellungen] → Teams). Before larger migrations, make sure that the target team is able to work with the categories concerned.
  • Filter first, then move: custom views with filters are the safest way to make the right selection — the summary in the dialog is your final checkpoint.
