How can I create a custom view?
Create your own custom view — your contract list, your rules
Why this matters
Every team looks at contracts differently: Finance needs amounts and payment cycles, Legal wants deadlines and status, Procurement focuses on counterparties and categories. Custom views let you set up the contract list exactly how you work with it every day — configured once, available instantly every time. No repeated filtering, no column chaos. And shared views give your team a single, consistent perspective on the contracts that matter.
How it works
- From the left navigation, open Contracts. You'll see the standard list with all contracts.
- Customize columns — on the right edge of the table you'll find the "Select columns" button (vertical label). Clicking it opens a panel with every available column (Title, ContractHero Team, Type, Counterparty, Tag, Category, Start date, End date, Payment cycle, Amount, Status, and many more). Tick the columns you want to see. Drag the dotted handle to reorder them.
- Filter — hover over a column header (e.g. "ContractHero Team"). A hamburger icon (☰) appears next to the column name. Click it to filter by values in that column. Multi-select is supported.
- Sort — clicking directly on a column name sorts the list ascending or descending (arrow ↑/↓ appears).
- Save as a new view — once columns, filters, and sorting are right, open the "View: …" dropdown at the top and choose "Save new view". Give it a meaningful name (e.g. "Lease contracts Q4 2026") and decide whether it's just for you or shared with your team.
- Find it again — your own views appear under "My views" in the view dropdown. Views shared by colleagues are under "Shared with me".
Common questions
How do I change an existing custom view?
Select the view, adjust columns/filters/sorting. A warning triangle (⚠️) appears on the view dropdown. Open it and click "Save changes" (overwrites the existing view) or "Save new view" (creates a second variant).
What's the difference between the "Standard view" and a custom view?
The standard view is the factory default — it can't be overwritten and is always your starting point. There's also the AI-analyzed view for contracts ContractHero has automatically processed. Custom views supplement these templates.
Can I export a view?
Yes. In the view dropdown you'll find "Export view". It downloads the contracts currently visible — with filters and columns intact — as a file.
If we add new columns to our account, will they show up in existing views?
Yes. New custom fields appear immediately in the column picker and can be added to any existing view.
Good to know
- Shared views are a quick alternative to complex permission rules when you want to give colleagues the right contract perspective.
- When filtering, the (All) checkbox toggles every value on or off at once.
- The amount display at the bottom of the list can be toggled with the "Show amounts" switch — useful when sharing your screen.
- Custom views save every team member minutes each week — with a large contract portfolio, that quickly becomes hours.
