How can multiple documents be handled in the system?
The screenshots in this article show the German interface. Where a button or field matters, the German label is given in brackets so you can match text to screenshot.
Closely related files — an order confirmation, a signed annex, a scanned copy — often belong to one and the same contract. Instead of creating a separate contract record for each of them, you can attach them all to one contract. This article shows how.
What's in it for you
Rather than setting up several separate contract records for documents that clearly belong together, you bundle every file on one main contract. That makes things faster to find during audits and reviews, and it keeps your contract list readable: one contract equals one row in the overview, even when three documents hang off it.
How it works
1. Open the contract
In the contract list, click the title of the contract you want to add further documents to.

You land on the contract detail page, with the fields on the left and the tab column on the right.

2. Open the Documents tab
In the tab column on the right, Documents [Dokumente] is the first tab, and the one selected by default when you open a contract.

You see the PDF of the main document, with a breadcrumb above it reading "All documents / [document name]" [Alle Dokumente / [Dokumentname]].
3. Go to the document list
Click "All documents" [Alle Dokumente] at the top left, above the PDF.

You arrive at the overview of every document assigned to this contract.
4. Upload another document
Click the "+" symbol at the top right.

Pick a file, or drag and drop it into the area. The document is added to the contract immediately.

Common questions
What is the difference between "multiple documents" and "sub-contracts / attachments"?
Multiple documents belong to the same contract record — they share its category, fields, master data and permissions. A sub-contract or an annex, by contrast, is a contract record of its own that is linked to the main contract and has its own fields. You manage those links in the Linked [Verknüpft] tab (see Related articles).
Which file formats are supported?
PDF is the recommended standard. Other formats can also be uploaded depending on your account configuration — test the behaviour in your own account if you plan to upload DOCX, JPG or other formats regularly.
Is there a limit per contract?
Technically, a great many documents per contract are possible. Once you go beyond about 20 attachments on one contract, though, it is worth checking whether a contract hierarchy with sub-contracts would be the cleaner solution.
Does the AI analysis run again for documents added later?
The AI analysis runs primarily on the first upload of the main document. When you upload an additional document, you can use the AI retrigger to start the analysis again if needed.
Who can add documents?
Members with Full access [Voller Zugriff] to the contract category. Read only [Nur Lesen] is not enough to upload.
Good to know
- Multiple documents vs. sub-contracts. A single contract with five documents is fine. But if those documents are really contracts in their own right — a renewal, a side agreement, separate terms and conditions — sub-contracts are the cleaner choice, because they carry their own fields and their own permissions.
- Use meaningful file names. "Order_confirmation_2026-03_v2.pdf" is much easier to find later than "Document3.pdf". Tidy up file names before you upload.
- Permissions follow the contract. Anyone who is not allowed to see the contract will not see the documents added to it either.
- Everything lands in the same change log. Uploads, deletions and previews are all recorded in the Activity [Aktivität] tab with the person and a timestamp.
