Kick-off preparation: how to start your ContractHero onboarding
Welcome to ContractHero! The kick-off is the first joint session with our onboarding team — this is where we set up your account and clarify how ContractHero can best fit your internal processes.
This article shows you what you can prepare before the kick-off — not what you have to. We will guide you through the onboarding project step by step. Even without any preparation, we will get off to a good start together.
Your benefit
The clearer your own ideas about contract types, responsibilities and deadlines are, the more precisely we can set the account up around your processes. Anyone who spends 15 minutes preparing takes their team a whole milestone further — saving time during the onboarding and ensuring a clean start to day-to-day work.
Purpose of the kick-off
The session is about gaining a clear overview:
- Recording your contract management goals together — as the north star for the onboarding and for our further collaboration.
- Which people on your side are involved in the onboarding?
What happens in the kick-off
We go through the key fundamentals of your account together:
- Account setup
- Contract overview and categories
- Fields and relevant contract data
- Users, roles and permissions
- Tasks and reminders
- Import options
What you can prepare
You do not need to arrive with a finished process. But these five points will help you make targeted use of the kick-off:
1. Consider your contract types
Which categories do you have? For example customer contracts, supplier contracts, lease agreements, insurance policies, licences.
2. Clarify responsibilities
Who should be able to manage contracts, review them, or only read them?
3. Gather existing contracts
If you would like to import contracts, ideally have them ready as PDF files.
4. Be able to name your key deadlines
For example notice periods, renewals, contract terms or follow-up dates.
5. Bring your open questions
We will discuss everything that matters for your internal use during the session.
What you do NOT need to prepare
You do not need a finished process before the session. We will help you find the right structure and give recommendations on how to set ContractHero up sensibly for your use case.

After the kick-off you will know how your individual onboarding is structured and how you can implement ContractHero in your company.
Frequently asked questions
How long does the kick-off take?
As a rule 60 minutes. Depending on the complexity of your setup it can also take somewhat longer — we will agree the scope with you beforehand.
Who should attend the kick-off?
The ideal combination is subject-matter responsibility (e.g. contract management, legal, procurement) and operational responsibility (the person who will look after the account later on). For more complex setups, IT can join as well (think SSO and permissions).
Can I upload contracts before the kick-off?
We recommend waiting until after the kick-off. We want to define the structure (categories, fields, permissions) together first — otherwise you will have to reorganise your contracts later on.
What happens after the kick-off?
We will agree the next steps with you: importing your contracts, inviting further users, fine-tuning the fields and, where needed, individual training sessions. We will discuss the exact roadmap at the end of the kick-off.
Do I need to know already how many contracts we have?
No. A rough order of magnitude is enough (e.g. "50 contracts" vs. "500 contracts" vs. "several thousand"). We will tailor the import approach to that.
What if we do not have a clear category structure yet?
Absolutely no problem — that is exactly what the kick-off is for. We will work the structure out together with you, based on your actual contract types.
Good to know
- A short preparation is enough. Fifteen minutes spent noting down the five points above give the kick-off noticeably more focus.
- No document backlog needed. You do not have to prepare a perfect contract filing system — we will set up the right structure together.
- Inviting several people makes sense. If more than one person will be working with ContractHero later on, invite them straight to the kick-off. That saves a second handover of knowledge.
- The kick-off is the starting point, not the end. After the session we will continue to support you — with the import, the setup, training and day-to-day operation.
- Collecting open questions is worthwhile. Bring along everything that is on your mind — permission logic, signature processes, integration with other tools. We will discuss it directly in the kick-off.
