Calendar integration: add the iCal feed to Outlook — step by step
You have activated a saved calendar view in ContractHero as an iCal feed (see the main article below) — now you want to subscribe to it in Outlook. This article shows you the exact route, both in the classic Outlook desktop app and in Outlook on the web and the new Outlook for Windows.

Your benefit
If you work in Outlook every day, you want to see contract deadlines and tasks exactly there — not in a separate tool. Having the iCal feed in Outlook means:
- One glance, all your dates. Contract end dates, notice periods and tasks appear in the same calendar as your meetings.
- Always up to date. The feed updates automatically — new contracts and changed deadlines appear without a manual refresh.
- No switching tools to plan your day. Open Outlook in the morning — calendar open — contract deadlines visible straight away.
How it works
Option A — classic Outlook desktop app
- Open Outlook and switch to the calendar view [Kalenderansicht].
- In the top menu bar (the Home [Start] tab), click Add calendar [Kalender hinzufügen] or Open calendar [Kalender öffnen].
- Select From the Internet… [Aus dem Internet…] (in some versions: Insert via URL [Per URL einfügen]).
- Paste the ContractHero feed URL you copied into the field and confirm with OK.
- Click Yes [Ja] to confirm the subscription.
The ContractHero calendar now appears in your list of calendars on the left and can be shown or hidden.
Option B — Outlook on the web (Outlook.com) and the new Outlook for Windows
- Sign in to Outlook.com or open the new Outlook.
- Select the calendar icon [Kalendersymbol] on the left.
- Click Add calendar [Kalender hinzufügen].
- On the left-hand side, select Subscribe from web [Vom Web abonnieren].
- Paste the ContractHero feed URL into the field, give it a meaningful name (e.g. "ContractHero deadlines") and click Import [Importieren].
The calendar is visible immediately and synchronises automatically.
Typical use cases
- Daily check in the morning. Sales or Legal opens Outlook in the morning — the day's contract deadlines are right there in the daily overview.
- Weekly planning. In the week view, the notice periods of the coming days appear alongside regular appointments.
- Renewal overview. If you subscribe to a filtered ContractHero view such as "Notice periods, next 90 days", you have the renewal pipeline directly in your Outlook calendar.
- Working on the move. As soon as the calendar has synchronised in Outlook, it appears automatically on your smartphone — provided Outlook is set up there as well.
Frequently asked questions
Can I edit ContractHero dates directly in Outlook?
No. Calendars added via a URL are always read-only — dates synchronise automatically out of ContractHero, but changes still have to be made in ContractHero itself. They are then reflected automatically in the Outlook calendar.
How quickly do changes appear in Outlook?
Outlook refreshes subscribed calendars at set intervals (typically several hours). An immediate refresh is not possible — allow for short delays with very recent changes.
Where do I get the feed URL from?
You generate the feed URL in ContractHero via the saved view [gespeicherte Ansicht] → pencil icon [Stift-Symbol] → "Activate feed [Feed aktivieren]". You will find the details in the main article Calendar integration: subscribing to ContractHero dates in your own calendar.
I cannot see "From the Internet… [Aus dem Internet…]" in my Outlook — what should I do?
The menu structure differs between Outlook versions. Alternative wordings: "Insert via URL [Per URL einfügen]", "Subscribe from web [Vom Web abonnieren]", "Subscribe to calendar [Kalender abonnieren]". If you are using the new Outlook for Windows, follow Option B.
Can I subscribe to several ContractHero views in parallel?
Yes. Create several views with different filters in ContractHero (e.g. "Notice periods" and "My tasks"), activate the feed for each of them and add each URL to Outlook separately. They then appear as separate calendars that you can show and hide individually.
What if we use custom SSO?
If your ContractHero account runs via a login prefix (e.g. mycompany.app.contracthero.com), you have to log in via the prefix once before you copy the feed URL for the first time and paste it into Outlook. Otherwise you will end up on the standard login page when it is called and the feed will not load. See the main article for details.
How do I remove the ContractHero subscription from Outlook again?
Right-click the calendar in the calendar list → Delete [Löschen] or Remove calendar [Kalender entfernen]. The feed is no longer synchronised; the ContractHero view itself remains unchanged.
Do tasks and contracts appear differently?
Contracts (start / end / termination) appear as calendar events, tasks as separate entries. Both are visible in the Outlook calendar; the layout depends on your Outlook version.
Good to know
- A meaningful name saves time. "ContractHero deadlines" or "ContractHero terminations Q3" makes it immediately clear what is in there when you have a long list of calendars.
- Assign a colour. Using the calendar properties in Outlook, you can give the ContractHero calendar its own colour — handy for visually separating contract deadlines from meetings.
- Not every colleague needs the same feed. The feed is individual per user. If colleagues are to have the same overview, they have to save their own view in ContractHero and activate the feed there.
- Do not use it as a substitute for the calendar. The feed complements Outlook — it does not replace active contract management in ContractHero. Editing, commenting and approvals still take place in ContractHero itself.
- Delays are normal. If ContractHero records a new deadline and Outlook only shows it hours later, that is not a fault — it is the standard behaviour of subscribed calendars in Outlook.
