Reporting: create reports and analyses from your contract data

With the new Reporting area, you turn your contracts into meaningful analyses — directly in ContractHero, without the detour via Excel. Analyse cost trends, contract volumes, deadlines, suppliers or risks in charts, key figures and lists. All based on the data that is already sitting in your contracts.


Your benefit


Contract management is more than a filing cabinet — the data in your contracts tells a story about costs, risks and savings potential. With Reporting you access it directly:


  • Facts instead of gut feeling. Answer questions such as "How high are our contract costs in Q3?", "Which supplier concentrates the largest volume?" or "Which contracts expire in 90 days?" with a report — not with a collection of Excel files.
  • Always up to date. Reports access your contract data live. If a contract changes, the report updates automatically.
  • Individual for each person. Every user saves their own reports — exactly the ones that are relevant for their role. Finance analyses costs, Legal focuses on risks, Procurement on supplier concentration.
  • Quick switch between perspectives. Adjust filters and groupings — and the next analysis is visible within seconds.


How it works


Step 1: Open the Reporting area


In the sidebar on the left you will find the new Reporting area. Click it to switch to the report view.


Step 2: Create a new report


Create a new report and choose:


  • Data basis [Datenbasis] — which contract category or which section of your contracts you want to analyse.
  • Filters [Filter] — narrow the selection down, e.g. to a period, a status, a contract partner, a payment cycle or a team.
  • Grouping [Gruppierung] — the dimension by which the data is aggregated (e.g. per category, per supplier, per month).
  • Display format [Darstellungsform] — as a chart (line, bar, pie), as a key figure or as a list.


Step 3: Save the report


Once the analysis fits, save the report under a meaningful name (e.g. "Cost trend Marketing 2026"). The report stays available in your Reporting area and updates automatically as soon as the underlying contract data changes.


Step 4: Adjust the analysis


Open a saved report again at any time. Change the filters, the period or the display — you can either overwrite your adjustments or save them alongside as a new report.


Typical use cases


  • Finance — cost trends. "How are our contract expenses developing per category over the last 12 months?" — line chart by month, filtered by category.
  • Procurement — supplier concentration. "Which suppliers account for our largest spend volume?" — bar chart by contract partner, sorted in descending order.
  • Legal — notice periods. "Which contracts expire in the next 90 days?" — list, filtered by end date.
  • Management — contractual obligations. "How high are our total contract costs for the current year?" — key figure, filtered by calendar year.
  • Renewal planning. "Which contracts renew automatically next quarter if we do not terminate them?" — list by automatic renewal + date.


Frequently asked questions


Who can see my reports?
Only you. Reports are saved at user level — comparable to saved views in the contract list. Colleagues do not see your reports automatically. Sharing reports is not yet possible in this version.


How can my team use the same analysis?
At the moment, every person has to create the report in their own account. We are working on enabling report sharing as well as reporting widgets on the dashboard in one of the next releases. Until then: pass your filter and grouping setup on to the team as a set of instructions.


Do reports update automatically?
Yes. A saved report pulls its data live from your contracts. If you edit a contract or create a new one, this is reflected the next time the report is opened.


Which chart types are available?
Line, bar and pie charts, as well as key figures and list views. Which display fits best depends on the purpose: developments over time → line, comparisons → bar, shares → pie, single values → key figure.


Can I export reports?
An export to common file formats is planned. Please check the current status directly in the application or speak to your account manager.


Does Reporting affect my existing data?
No. Reports are purely read-only analyses — your contract data is not changed. So you can experiment freely without risking anything.


What is the difference to a saved view in the contract list?
A saved view shows the contracts themselves in table form with your filters. A report is an analysis across contracts — with aggregation (sum, count, development over time) and visualisation. The two complement each other: the view for operational work on an individual contract, the report for strategic analysis.


What if my filters do not return any results?
Check whether the filters have been set too narrowly (e.g. period combined with category). Loosen one criterion or choose a broader data basis. No result does not mean that Reporting is not working — only that no contracts match these criteria.


Good to know


  • Starting small pays off. Create a simple report first — e.g. a key figure "Number of active contracts" — before you combine complex filters. That way you build a feel for how the tool responds.
  • Meaningful names save time. "Cost trend Marketing 2026" is more helpful when finding a report again than "Report 3". Once your report list grows, you will thank yourself for it.
  • Reporting only works as well as your data. If, for example, the field "Contract partner [Vertragspartner]" or "Category [Kategorie]" is missing in many contracts, analyses of these fields will give an incomplete picture. A cleanly maintained data set is the basis.
  • Reports do not replace the contract view. If you want to find or edit individual contracts, use the contract list with saved views. Reports are there for aggregation across many contracts.
  • Outlook — Reporting + dashboard. In an upcoming release, saved reports will also be able to be placed as widgets on the individual dashboard — the most important key figures right after logging in. Not included yet.
