Mass editing contract information (bulk edit)
With bulk editing, you can update multiple contracts in ContractHero at the same time—without having to open each contract individually. This saves a lot of time, especially when restructuring categories, renaming contract partners, or cleaning up your contract database.
What can bulk editing do?
With bulk editing, you can update a selected set of contracts (unlimited) in a single step, for example:
- Change the category (e.g., from “Other contracts” to “DPA”)
- Update other fields that you’ve displayed as columns in the contract list
- Make larger changes across your contract database without editing each contract one by one
Not editable via bulk editing:
- Tags
- The ContractHero team field
- Created by
- Created on
Some fields are intentionally not editable because they follow a different logic or are not meant to be changed.
Who is bulk editing for?
Because one click can change many contracts at once, bulk editing is mainly intended for people with administrative responsibilities, for example:
- Primary contacts within the department
- Admins or power users who maintain contract data
In theory, any user with editing rights can bulk edit the contracts that are shared with them.
Bulk editing step by step
1) Select contracts
- Open the contract overview.
- Select all contracts you want to edit by ticking the checkbox to the left of each contract.
- As soon as at least one contract is selected, the “Edit” option appears at the bottom of the screen.

2) Choose the field to edit
- Click “Edit”.
- A bulk editing dialog opens.
- Select the field you want to change—for example, the category.
- All fields that are currently displayed as columns in your contract list can be selected for bulk editing here.
Example:
You want to move all contracts from “Other contracts” to the new category “Lease agreements”.
3) Review and confirm the change
After selecting the field and the new value, you’ll see a preview of which contracts will be affected.
Check in the preview that:
- only the contracts you intended are included
- the new value is correct
If a contract should not be changed after all:
- cancel the process,
- adjust your selection in the contract list,
- start bulk editing again.
If everything looks correct, click “Update fields” to apply the change to all selected contracts.
Best practices & safety
- Always use the preview: The preview is designed to show how many contracts are affected and which values will be changed. If the number (e.g., “111 contracts”) seems too high: cancel and double-check your selection.
- Start with smaller batches: If you’re unsure, start with a smaller selection (e.g., 5–10 contracts), verify the outcome, and then increase the number as needed.
- Define clear responsibilities: Internally, define who owns the structure (categories, contract partners, fields). Those people should be the ones using bulk editing. If needed, give others read-only access to contracts that contain sensitive data.
Can changes be undone?
There is no direct “Undo” function. However, if something was changed incorrectly, you can use bulk editing again to reset the affected contracts to the correct value (e.g., adjust the category again).
Why don’t I see certain fields in bulk editing?
The editable fields depend on which columns you have displayed in the contract list. Add the relevant field as a column so it becomes available in bulk editing (except Tags & the ContractHero team field).
