How to manage category sections?

The screenshots in this article show the German interface. Where a button or field matters, the German label is given in brackets so you can match text to screenshot.

Category sections group the fields of a contract category into thematic blocks. This article shows you how to create, rename, reorder and delete them in the contract field builder.

What's in it for you

Clean sections save clicks and attention — instead of 30 fields in one endless list, you sort them into four to six sensibly named blocks. That makes data entry faster, reduces mistakes, and puts the most important information at the top. During an audit or a handover, anyone can find their way around in seconds.

How it works

1. Open the contract field builder

Go to Settings („Einstellungen").

Then go to Field builder → Contract field builder („Feldbaukasten → Vertragsfeldbaukasten").

In the left-hand column "Your categories" („Ihre Kategorien"), select the category whose sections you want to manage. The middle column "Category sections" („Kategorieabschnitte") shows the assigned sections with all their fields.

2. Create a new section

Click the green "+" to the right of "Category sections" („Kategorieabschnitte").

The "Create new section" („Neuen Abschnitt erstellen") dialogue opens.

Fill in:

  • Section name (German) („Name des Abschnitts (Deutsch)") * — mandatory. Keep it short and concrete: "Term & termination", "Payment", "Contracting parties". Avoid generic names such as "Other".

Confirm with "Create" („Erstellen"). The new section appears in the middle column straight away; you can now drag and drop fields into it.
You will find more on that in the related article at the end of this page: "How can I manage Custom Fields?"

3. Edit a section (name, translation, order)

Click the gear icon in the top right of the section card.

The "Update section" („Abschnitt aktualisieren") dialogue opens. Here you can adjust:

  • Section name (German) („Name des Abschnitts (Deutsch)") *
  • Section name (English) („Name des Abschnitts (Englisch)") *
  • The "Translate" („Übersetzen") button — starts an automatic translation of the German name into English.

Confirm with "Save" („Speichern").

Changing the order: grab the drag handle (the dotted grid in the top left of the section card) and drag the section up or down. Don't forget to click "Save" („Speichern") in the top right — otherwise the new order is lost when you leave the page.

4. Delete a section

In the "Update section" („Abschnitt aktualisieren") dialogue you will find the red "Delete" („Löschen") link at the bottom left.

Careful: deleting a section does not delete the fields it contains — they move back into the right-hand column "Your fields" („Ihre Felder") and can then be dragged into another section. The section structure (order and grouping) of the affected category is lost, though.

Common questions

Who is allowed to manage category sections?
By default only members with owner status, or a role that has the field builder („Feldbaukasten") permission explicitly enabled. Regular members can see the sections but cannot change them.

What is the difference between a category and a category section?
A category is the contract type (lease, NDA, employment contract, and so on). Within a category, sections group the individual fields by topic. Example: the category "Lease" has the sections "General", "Leased property", "Rent & running costs" and "Term & termination".

Can different categories share the same sections?
No. Sections are defined per category. If several categories need the same section structure (for example every contract with "General" and "Financials"), use the "Category template" („Kategorievorlage") option when creating a new category — that copies an existing structure with all its sections and fields (see the related article "How to add/edit a category?").

What happens to contracts when I change the order of the sections?
It is visible immediately — the order in the contract detail view adapts. The fields themselves and their values stay unchanged.

How many sections make sense?
Rule of thumb: three to seven per category. Fewer than three, and a flat list would do. More than seven, and it gets hard to scan — better to combine fields or split the category.

Good to know

  • Order follows importance. Put the section with the most frequently used fields (usually "General") at the top. That speeds up data entry and makes reports easier to read.
  • Add the English name afterwards. Only the German name is asked for when you create a section. If your account is used internationally, add the English name later via the gear dialogue — quickest with the "Translate" („Übersetzen") button.
  • Meaningful names beat numbering. "Term & termination" is clearer than "Section 1". Names that speak for themselves save you explanations during onboarding.
  • Fields survive being moved. Drag and drop between sections only changes the grouping, not the fields themselves — every saved value stays untouched.
  • Don't forget to "Save". After any structural change (order, new section, fields moved), always click "Save" („Speichern") in the top right. If you leave without saving, all drag-and-drop changes are lost.
