How do I merge duplicate contacts?
The screenshots in this article show the German interface. The English label is given first, with the German label in square brackets.
Your benefit
Duplicates appear quickly: through a CSV import, through different spellings, or because several team members create the same contact. Merging keeps your contact list clean without copying records manually or reassigning contracts. ContractHero detects potential duplicates automatically, proposes them in pairs, and you decide in two clicks whether they are merged or ignored.
How it works (incl. screenshots)
Requirement: You need edit rights on the contacts concerned.
- Open the Contacts [Kontakte] section in the left-hand navigation.

- Click Merge duplicates [Duplikate zusammenführen] in the top right. A dialog opens showing all the potential duplicate pairs ContractHero has found. The dialog title shows the number of duplicates found (for example "12 duplicates found" [12 Duplikate gefunden]) — so you can see at a glance how many pairs you have to work through, and split the clean-up into time blocks if the list is long.

- Select the primary contact. Two contacts are shown side by side in the dialog. Using the selection field on the right, you mark which of them becomes the primary contact [primärer Kontakt] — that is, the record whose values are kept when the two are merged. The second contact is folded into the primary one.

- Decide for each pair:
- No duplicate [Kein Duplikat] — if the two contacts should remain independent despite their similarity. ContractHero remembers this decision and will not propose the pair again.
- Preview → [Vorschau →] — shows the end result of the merged contact in a preview view.

- Confirm the merge. In the preview, click Merge [Zusammenführen] to carry out the merge for good. Back [Zurück] returns you to the selection without saving anything.

If there are no (more) duplicates, the dialog shows "No duplicates found." [Keine Duplikate gefunden.]
Frequently asked questions
Which data is kept after the merge?
The values of the primary contact are kept. Contracts, tasks and activities belonging to the second contact are transferred to the primary one. A detailed breakdown of how ContractHero handles the secondary contact's values for individual fields can be found in the preview view, before the final confirmation.
Can I undo the merge?
No. Merging is a final action. So check the preview carefully before you click Merge [Zusammenführen].
How does ContractHero identify a potential duplicate?
ContractHero compares key contact fields (for example name and address) and proposes pairs with a high degree of match. You always stay in control: only what you confirm in the preview is actually merged.
How many duplicates has ContractHero found?
The answer is in the dialog title — as soon as you open the merge modal you can see the number of all pairs currently detected (for example "12 duplicates found" [12 Duplikate gefunden]). Handy for gauging the size of the clean-up before you start.
What happens if I click No duplicate [Kein Duplikat] by mistake?
The pair is permanently removed from the suggestions. If you would like to reverse that marking, please contact support@contracthero.com.
Good to know
- The feature is reached via Contacts [Kontakte] → Merge duplicates [Duplikate zusammenführen] in the top right.
- Edit rights on both contacts are a requirement — without them the button is not active.
- Counter in the modal title. The dialog shows in its title the number of all duplicate pairs currently found — handy for knowing whether there are 3 or 30 pairs before you start.
- When you mark a pair as No duplicate [Kein Duplikat], a confirmation appears: "Successfully marked as a non-duplicate contact." [Erfolgreich als nicht-duplizierter Kontakt markiert.]
- A connection that has already been merged cannot be restored automatically. When in doubt, check the preview step twice.
